Job Numbers
- Before sending labeling and postage-affixing jobs to the mailroom, you must call 516.877.3092 and request a job number.
- All jobs received at the mailroom must have an Interdepartmental Invoice attached to the job.
- The invoice must show the job number, department account number, date, and contact person.
Address Files
- Address files for labeling must be in Excel format. You can send the files electronically to miemis@adelphi.edu or you may send a disc or CD via interoffice mail to Peter Miemis, Mail Services.
- The Excel data should be listed as follows: name, title, street address, apartment/suite, city, state and zip code. Each must be in a separate column.
Address Formatting
All mailings must conform to postal regulations, including mail-back pieces to Adelphi. The United States Postal Services requires that Adelphi use a standardized, machine-readable address as follows:

Zip Codes
The Postal Service Web site provides zip code information. Go to
http://www.usps.com/ and select
Find A Zip Code from the menu. You will need to enter the street address, city, and state.
Postage Rates and Fees
- You can get domestic and international postage rates and fees at the Postal Service Web site, http://www.usps.com/.
- Domestic mail rate searches will need the destination zip code.
- International mail rate searches will need the name of the country.
Department Account Numbers
All mail for off-campus delivery must have one of the following: an Interdepartmental Invoice attached, department name in the return address or account number for the return address. This information is needed to accurately charge the correct department for the cost of postage.
We also receive photocopies of "Address Change Service" mail from the Post Office and quite frequently we cannot determine what department to charge. Address Change Service is used to help the University update and maintain high quality databases for mailing addresses. Unfortunately if we cannot ascertain which department to notify, we will incur additional charges in future mailings.
Nonprofit Mailings
To use permit-imprinted mail, you have to set up an Advance Deposit Account at the Post Office from which it will be mailed. The cost of each mailing is then deducted from your account.
The key to permit imprint is identical weight pieces. All of your mail pieces must weigh exactly the same. This is because in the case of non-affixed postage, the Post Office has to verify the number of pieces in your mailing. We do this by weighing individual pieces and your entire mailing to check the number of pieces and calculate the postage.
Mail pieces bearing permit imprint must be brought to the Post Office where you hold your permit. Mail pieces CANNOT be dropped into a collection box or given to a carrier.
A permit-imprint indicia only becomes postage when the pieces are brought to the Post Office as part of a bulk mailing. These permits cannot be used to send individual pieces of mail. They will be returned to you postage due.
Mail Rates and Size Limits
The minimum size for First-Class Mail is 5 inches long, 3-1/2 inches high, and 0.007 inch thick. Pieces weighing 1 ounce or less may be subject to the
nonmachinable surcharge.

An additional $0.12 is required for items weighing 1 ounce or less with any of the following criteria:

It is too rigid or contains items such as pens that cause the thickness of the mail piece to be uneven.
It has an address parallel to the shorter dimension of the mail piece.

Priority Mail® is used for documents, gifts, and merchandise. Any mailable item may be sent as Priority Mail. The maximum weight is 70 pounds. The maximum size is 108 inches or less in combined length and distance around the thickest part. Mark each package "Priority Mail" in the postage area or use a USPS-provided Priority Mail envelope or box.

Certified Mail
Certified mail provides proof of mailing and date and time of delivery or attempted delivery. A delivery record is maintained by the USPS. It is available with First -Class Mail and Priority Mail. For an additional fee, Certified Mail may be combined with restricted delivery or return receipt.

Return Receipt
A Return Receipt provides the sender a postcard, fax, or email notification, with the date of delivery and recipient's signature.
A Return Receipt may be requested at the time of mailing or after mailing. When requested at the time of mailing, it also provides the recipient's actual delivery address if different from the address used by the sender. Customers purchasing a Return Receipt at the time of mailing may choose to receive it by mail or electronically. An electronic Return Receipt is available at most Post Offices and are not available when a mail piece is sent to APO or FPO addresses or U.S. territories, possessions, and freely associated states.
Return Receipts are available for Express Mail (by mail only), First-Class Mail, Priority Mail, Parcel Post, Bound Printed Matter, or Media Mail when purchased with one of the following: Certified Mail, COD, mail insured for more than $50, and Registered Mail.
When purchased with one of the items above, Return Receipt may be combined with: Delivery Confirmation, parcel airlift (PAL), restricted delivery, Signature Confirmation, or special handling.
